From quote to paid invoice, without switching screens

Your client agrees to the quote, you turn it into an invoice in one click, and it goes out in electronic format with a payment link. The dashboard shows what is still to be collected.

Invoicing is the module everyone uses from day one. It is connected to client records, appointments and orders, so an invoice rarely starts from a blank page.

What a small business asks before invoicing

The rules for invoices in France, and what Puwapi does for you at each step.

What must appear on an invoice?

A unique number, the date, the full identity of the seller and the client (name, address, SIREN, intra-EU VAT number), the description, quantity and price excluding VAT of each line, the VAT rate and amount, the total, the due date, late payment penalties and the €40 fixed recovery fee. The e-invoicing reform adds the client’s SIREN, the delivery address if it differs, the nature of the transaction (goods, services or both) and, where relevant, the option to pay VAT on debits.

In Puwapi, you enter your legal details once in the settings and they carry over to every document. The wording for late payment penalties, the €40 fee and early payment discounts is set by default, and you can change it.

How should invoices be numbered?

Numbering must follow a chronological, continuous sequence, with no gaps or duplicates. You can keep several series, for example one per year, as long as each one stays continuous.

Puwapi assigns numbers automatically, in order. You choose the prefix for each type of document and the format (year, month, number of digits): with the year in the format, the sequence restarts at 1 each year. Credit notes have their own series.

E-invoicing: what to do, and when?

Since 1 September 2026, every business subject to VAT in France must be able to receive e-invoices. From 1 September 2027, small businesses and SMEs must also issue them for their sales to other businesses, through an approved platform.

Puwapi registers you in the Directory, sends your invoices in the structured format through an approved platform, receives your suppliers’ invoices and reports the “collected” status once an invoice is paid. The number of electronic documents a month depends on the plan: 60 on Starter, 300 on Business.

How do I get paid faster?

Once the invoice is issued, send it with a payment link, by email or by text message. The client sees their invoice and pays by card. The link stays valid for 30 days, and the invoice switches to “paid” on its own when the money comes in.

Online payment is switched on once in your settings: the money arrives in your payment account, or on your IBAN by bank transfer if you prefer. The dashboard shows what is still to be collected.

What should I send my accountant?

Your accounting firm needs your sales, your purchases and the VAT. The format it imports into any accounting software is the FEC, the file of accounting entries, which the tax authority can also ask you for during an audit.

Puwapi continuously calculates the VAT collected on your invoices and the deductible VAT on your approved expenses, quarter by quarter, and produces the year’s FEC export. It does not keep your books and has no accounting connector: you send these two files to your firm.

From quote to invoice, with no retyping

A quote is created from the client’s record, with items from your catalogue, and downloaded as a PDF to send. When the client agrees, you mark it accepted, then one click turns it into an invoice: the lines are carried over and the invoice gets its own number.

Puwapi does not offer electronic signature of quotes: you record the agreement yourself. Quotes are included from the Business plan.

Questions about invoicing

Is Puwapi ready for mandatory e-invoicing?

Yes. It goes through an approved platform, registers you in the Directory, already receives your suppliers’ invoices and issues yours in the required format, ahead of the issuing obligation on 1 September 2027 for small businesses and SMEs.

Are the mandatory details added automatically?

Your legal details (company name, legal form, SIRET, VAT number, address) are entered once in the settings and then appear on every document. The wording for late payment penalties, the €40 fixed recovery fee and early payment discounts is set by default, and can still be changed.

Can my client sign the quote online?

No, Puwapi has no electronic signature. You download the quote as a PDF to send it, then mark it accepted when the client agrees, and one click turns it into an invoice.

How long does the payment link stay valid?

Thirty days. It is sent by email or text message as soon as the invoice is issued, and the invoice switches to “paid” on its own when the client pays by card.

Can I invoice a deposit?

Not yet: Puwapi handles neither deposit invoices nor partial payments. An invoice is paid in one go.

What does my accountant receive?

The quarterly VAT summary and the year’s FEC export, the file that accounting software imports as it is. Puwapi has no accounting connector: you send these files to them.

Can I correct an invoice that has already been issued?

An issued invoice can no longer be changed: the law forbids it. You issue a credit note that cancels it in full or in part, then a new invoice.

Does my client need Puwapi to receive an e-invoice?

No. The invoice arrives in whatever tool they have chosen, thanks to the Directory.

Where does the money go when a client pays online?

Into your Stripe account, or to your IBAN by bank transfer if you prefer. You choose in your settings.
